When you ask Aria to build a page or write copy, Aria reads parts of your business to do its job well. This article is a straight account of what Aria reads, where that information lives, and what we do with it.
If you have questions this article doesn't answer, message us in Intercom. We will give you a real answer.
What Aria reads from your business
When you send Aria a message, it loads a working picture of your business to ground its response. Specifically:
Your site basics — your brand name, your domain, which template you are on
Your portfolio — up to 30 of your currently active properties, including each property's name, market location, top amenities, total review count, and average rating
The page you are working on — the current state of the section, container, or block you have selected, so Aria knows what it is editing
What Aria does not read:
Individual review text. Aria sees the count and the average rating of your reviews. It does not read what individual guests wrote in their reviews.
Bookings, financial data, or guest personal information. Aria has no access to booking records, guest contact information, payment data, or any of your operational reporting.
Other customers' data. Everything Aria sees is scoped to your account.
If you have a Sightline Report, Aria can also load that on demand when you ask for branded copy. The Sightline Report is the strategic playbook generated for your portfolio — see Your Sightline Report for what's in it and how it gets made.
How the writing gets generated
Aria uses a leading AI provider's API to generate its responses. When you send Aria a message, your message and the relevant business context go to that API, and the response comes back to your editor.
We use the paid tier of that API specifically because its terms do not allow customer inputs to be used for training. Your property data, your reviews, your conversations with Aria — none of it is used to improve any model or to benefit any other customer or application.
Where your Aria data lives
Everything Aria touches stays inside CraftedStays, scoped to your account:
Your conversation history with Aria is saved securely to your account. You and your team can pick up a conversation where you left off, and our team can review sessions when you ask us to help with something.
Generated images are stored securely to your account, alongside the rest of your site's assets. They are not posted to external services and they are not shared with other customers.
Your Sightline Report is stored securely to your account.
Your portfolio data stays where it has always been — synced from your PMS into your CraftedStays account.
Your data is scoped to your account at every layer of the system. One customer's data is not accessible from another customer's session.
What we use Aria conversation history for
Two reasons:
To make Aria work. Aria reads the last few turns of your current conversation so a follow-up like "now make the subtitle warmer" knows what subtitle you mean.
To improve Aria. We review session telemetry in aggregate — what kinds of prompts work well, what kinds of edits get discarded, where Aria misreads intent — and use those patterns to refine Aria's behavior. Improvements that come out of this review apply to everyone.
We do not read your conversations for any other purpose, and we do not share them with third parties beyond the Google API call that generates Aria's response in the first place.
How long your data is retained
Your conversation history, Sightline Reports, and generated images live alongside the rest of your CraftedStays site data. Retention follows our overall data handling, not a separate Aria-specific policy.
If you want any specific data removed — a conversation, a Sightline Report, a generated image — message us in Intercom and we will handle it.
A note on the Sightline Report
The Sightline Report involves a few extra steps worth being explicit about:
The report uses your portfolio and your review aggregates the same way Aria does, plus your answers to the brand intake wizard, which you write yourself.
The report also pulls live search market data (search volume, competitive landscape, AI search behavior in your markets) from a third-party data provider. That provider receives your site domain and the markets you operate in to return market data. It does not receive your customer information, your bookings, or your reviews.
The full Sightline Report (the strategic playbook itself) lives in your account on our infrastructure, the same as everything else.
What we don't do
To be explicit about a few things we know customers care about:
We do not sell your data. Not to advertisers, not to data brokers, not to anyone.
We do not let third parties — including our AI provider — use your data to train models or for any purpose other than returning Aria's response to you.
We do not let other customers see your portfolio, your conversations, your reports, or your generated images.
If you have a specific question
This article covers the common cases. If you have a specific question about how a particular piece of your data is handled (especially for compliance, legal, or enterprise-procurement reasons), reach out to your CraftedStays contact or message us in Intercom. We will get you an answer, and if the answer involves something we should change, we will tell you that too.
